Information we collect
When you interact with Andros Orthodontics, we collect only the information we need to provide care, schedule appointments, verify insurance, and communicate with you about your treatment. Specifically:
- Information you provide directly — name, date of birth, contact information, insurance details, medical and dental history, and any information you share during clinical visits or via text, phone, email, or our online booking system
- Clinical records — exam findings, CBCT and intraoral imaging, treatment plans, and progress notes — all of which become part of your protected health information (PHI) under HIPAA
- Website usage information — like most websites, we use basic analytics to understand which pages are visited so we can improve them. We do not use this information to identify individual visitors
How we use your information
We use the information you share with us for the standard operations of a healthcare practice:
- Providing orthodontic care, including diagnosis, treatment planning, and ongoing treatment
- Scheduling, confirming, and following up on appointments
- Verifying insurance coverage and processing claims
- Coordinating care with other providers when appropriate (with your authorization where required)
- Communicating about treatment, payment, and practice operations
- Complying with legal, regulatory, and accreditation requirements
Who we share information with
We share your information only as needed for the purposes above, and only as permitted by HIPAA and other applicable law. This includes:
- Other providers when coordinating care — for example, sending records to your general dentist, an ENT, a sleep medicine physician, or an oral surgeon involved in your treatment
- Insurance companies for benefit verification and claims
- Business associates that help us operate the practice — including our practice management system (NexHealth), our patient onboarding and financial platform (OrthoFi), and our retainer membership partner (Retain). Each business associate is contractually required to protect your information under HIPAA
- Government and regulatory bodies when required by law
We do not sell patient information. We do not share patient information for marketing by third parties.
Your rights under HIPAA
As a patient of a HIPAA-covered practice, you have specific rights regarding your protected health information:
- The right to access and obtain a copy of your records
- The right to request corrections to your records
- The right to request restrictions on how your information is used or shared
- The right to request confidential communications (for example, a specific phone number or address for our communications with you)
- The right to an accounting of disclosures we have made of your information
- The right to file a complaint if you believe your privacy rights have been violated, without retaliation

Website-specific items
Online booking
Appointment booking on our website is handled by NexHealth, our practice management partner. When you book, you submit information directly to NexHealth, which then provides it to us. NexHealth is contractually a HIPAA business associate. Their privacy policy is available at nexhealth.com/privacy-policy.
Cookies and analytics
This website uses minimal first-party analytics to understand aggregate page traffic and improve the site. We do not use behavioral advertising cookies, and we do not allow third parties to use our site to track you across other websites.
Text and SMS
We use text messaging for appointment reminders, scheduling, and general patient communication. By providing your phone number, you consent to receive these messages. Standard message and data rates may apply. You can opt out at any time by replying STOP or by contacting us directly. Texts may include scheduling information; we do not text clinical details that require formal authorization.

If you believe your HIPAA rights have been violated and we have not resolved the concern, you can also file a complaint directly with the US Department of Health and Human Services Office for Civil Rights at hhs.gov/ocr. We will not retaliate against you for filing a complaint.
